DISCUSSION:
Public Works Heavy Equipment budget, 3540330, requests a revision of fixed asset purchases for FY 2025-26. At budget adoption your Board approved the fixed asset purchases of three (3) Graders, one (1) Single Drum Roller, one (1) Trailer and one (1) Loader. Public Works Heavy Equipment has identified the need for two (2) Peterbilt 567 service trucks that will allow for repairs in the field. The transportation time and downtime associated with bringing equipment to the maintenance shop from the remote rural areas in the county severely impacts the work that can be accomplished. Public Works Heavy Equipment determined the need for the two (2) Peterbilt 567 trucks is higher than the need for some of the equipment originally budgeted for and included in the adopted budget. Public Works Heavy Equipment requests approval to purchase two (2) Peterbilt 567 trucks with IMT service bodies. Should your Board approve this purchase the department will not be purchasing the three (3) Graders, one (1) Single Drum Roller or one (1) Trailer as indicated in the adopted budget. With these changes Public Works Heavy Equipment (3540330) fixed asset purchases in FY 2025-26 will consist of one (1) Loader and two (2) Peterbilt 567 trucks with IMT service bodies.

FINANCIAL IMPACT:
Narrative Explanation of Financial Impact:
The quote for the two (2) Peterbilt 567 trucks with IMT service bodies is $846,774. The budgeted total for the three (3) Graders, one (1) Single Drum Roller and one (1) Trailer is $955,000. There are sufficient funds in the Public Works Heavy Equipment approved budget, 3540330, to cover this purchase.
STAFFING IMPACT:
There are no impacts to current staffing levels with the approval of this item.

ALTERNATIVES TO STAFF RECOMMENDATIONS:
Your Board could choose not to approve the change to fixed asset purchases. However, this is not recommended as it would result in an increase in downtime for heavy equipment repairs and may require the department to contract out services to support heavy equipment maintenance, leading to higher operational costs.
